Privacy Policy

CleanOps is operations software for commercial cleaning companies. This policy explains what information we collect, why we collect it, and how it is protected. We do not sell personal information to anyone, ever.
Who this policy covers
There are two groups of people who use CleanOps: the cleaning company that subscribes to the service (the account owner and their office staff), and the cleaners and managers that company invites into its account. This policy applies to both.
Each cleaning company's information is kept in its own private workspace. One company can never see another company's buildings, clients, staff, schedules or timesheets.
Information we collect
- Account information — name, email address, phone number, company name and role (owner, manager or cleaner).
- Operational information — buildings and service addresses, recurring schedules, service windows, cleaning checklists, rotational tasks, job notes and supply requests.
- Shift records — the date and time a cleaning is started and completed, tasks checked off, and any notes or corrections added by an office administrator.
- Location information — described in detail in the next section.
- Billing information — company name, billing email and subscription status. Card numbers are entered directly with our payment processor and are never stored on CleanOps systems.
Location and GPS — how it actually works
CleanOps records a single location reading at the moment a cleaner taps Start and again at the moment they tap Complete on a cleaning. That reading is compared to the building address so the cleaning company can confirm the visit happened at the right site.
- CleanOps does not track location continuously, in the background, or when the app is closed.
- CleanOps does not follow a person's movement between buildings or after their shift ends.
- Location is used only for shift verification and timesheet auditing, and is visible only to administrators of that person's own cleaning company.
- Location verification never blocks a cleaner from working. If the phone cannot get a signal, or the reading is off, the cleaning can still be started and completed normally.
- A cleaner can decline location permission on their device. Doing so does not prevent them from using CleanOps.
How we use information
Information is used to operate the service: showing cleaners their assigned work, showing administrators their schedules and completion records, building timesheets, sending account and login messages, processing subscription payments, and providing customer support.
We do not use customer or cleaner information for advertising, and we do not sell or rent it to third parties.
Who can see what
Cleaners see only the buildings, schedules, checklists and visit details assigned to them. They cannot see other cleaners' schedules, company-wide timesheets, client details or company settings.
Administrators and managers of a cleaning company can see that company's full operational records, including schedules, completion reports, notes, supply requests and timesheets for their own staff.
Service providers
We rely on a small number of trusted providers to run CleanOps: cloud hosting and database services to store your data securely, a payment processor to handle subscription billing, and mapping services to display building locations. These providers may only process information as needed to deliver their part of the service.
Data retention and deletion
Operational records are retained for as long as the account is active, so that cleaning history and payroll records remain available. An account owner may request deletion of their company account and its data at any time by contacting support. Certain billing records may be retained where required by law.
When a team member is removed from a company, their personal profile is deactivated, while the historical shift records they created remain part of the company's payroll and service history.
Security
Data is transmitted over encrypted connections and stored with access controls that keep each company's workspace separate. Passwords are stored only as one-way encrypted values — they cannot be read back by anyone, including CleanOps staff. Administrators can issue a new password for a team member, but can never view an existing one.
Children
CleanOps is business software and is not intended for anyone under 16 years of age. We do not knowingly collect information from children.
Changes to this policy
If this policy changes in a meaningful way, we will update the date at the top of this page and notify account owners inside the app.
